Some of Our Favorite Google Docs Features

Google Workspace is one of the most utilized productivity suites in business. Within the useful suite of productivity apps is Google Docs, Google’s word processor. Today, we thought we would take you through Google Docs to show you some of the features you can expect. 

Before we get into it, we should mention that Google Docs is free for anyone with a Google account, but if you are looking to use it for business, you should consider giving us a call to talk about the benefits of getting Google Workspace. 

Log into your Google account and go to http://docs.google.com to see how the free version works. Here are two of our favorite features: 

Version History

One of the best features found in Google Docs is the ability to go back and see different versions of a document. This is useful when tracking who made the last edits and if you need to go back and edit something due to a change in situations. When you access the option, it tells you who made which edits and how people have been working on the document. 

To access this click on File > Version history > See version history and choose. If you want (or need) to restore a file from one of these past versions, simply click on the Restore this version button at the top of the screen in the review section when one of the past modifications are selected.

Interacting with a Document

Google Docs allows for a significant amount of collaboration. Not only does it provide real time action inside each document, it also allows users to move and share documents with people inside and outside of your organization; and, it allows a user to set how other members of your team can interact with the document. 

You can set shared documents with levels of access between three modes: Editing, Suggesting, and Viewing. Editing mode gives a user the ability to edit the document while in Suggesting mode, users can only suggest changes that need to be reviewed by someone with editing access. Obviously, Viewing mode only allows a user to view the document.
